Quick answers to common questions about using Invollo.
How do client portal invitations work?
In the Clients list under the Portal Access column, click "Invite to Portal". The client receives an email invitation with a secure link to set their password and signs in at app.invollo.com/client/signin.
What happens to tracked time if my internet disconnects?
The tracker needs an internet connection to start, pause, or stop a timer. If your connection drops while tracking, reconnect before stopping the timer. Screenshots taken while offline are not uploaded.
How do I connect my own Stripe or PayPal account?
In Settings > Payment Gateways, open Add Payment Method... and choose Stripe or PayPal, then enter your own keys (for Stripe, also the webhook secret). Clients pay directly into your own account; Invollo takes 0% of your client payments.
Can I export my invoices, clients, and financial data?
Yes. Workspace owners and admins can click Export My Data under Settings > Security to download a JSON export of the workspace data.
How does recurring retainer billing work?
On the Pro and Business plans, click Recurring in the sidebar and create a schedule with Type "Retainer": put the fee in the line items and set the included hours per period. Extra billable hours can be added to the next invoice or only shown.
How do clients accept and sign quotations?
Clients open the quotation link, review the line items, and accept with their typed full name and a drawn signature (both are required). Invollo records the acceptance with a SHA-256 proof.
Does Invollo charge a fee on my client payments?
No. Invollo takes 0% of your client payments. Money goes straight to your own Stripe or PayPal account, or to your bank account by transfer. Only your payment provider's own fees apply.
What are the differences between Free, Pro, and Business plans?
Free includes 1 user, 3 active clients, 3 active projects, and 5 invoices and 5 quotes per month. Pro gives unlimited clients, projects, invoices and quotes, plus recurring invoices. Business adds 3 team seats, removes the "Powered by Invollo" footer (the client portal header still shows Invollo), and lets you send from your own domain.
Can I send invoices from my own email domain?
Yes. Business plan workspaces can connect their own Resend or Brevo account under Settings > Email Settings to send invoices directly from their company domain.
How does periodic screenshot capture work on the desktop tracker?
The Windows desktop tracker takes periodic screenshots only while a timer is running with Auto Screenshots on, at the interval set in Settings > Company. Clients see screenshots only for time entries marked Visible to Client.
