Invollo vs FreshBooks: which one should you invoice with?

FreshBooks is invoicing and accounting software for small businesses, with paid plans after a 30-day trial. Invollo is a lighter tool for freelancers and small teams: quotes with e-signatures, time tracking, invoices and a client portal, with a free plan. If you need bookkeeping, recurring billing or a mobile app, FreshBooks does more. If you mainly bill hours to clients abroad and want to start without paying, Invollo is the simpler fit.

The short answer

Choose FreshBooks if…

  • You want invoicing and double-entry accounting, with bank reconciliation, in one product (Plus and up).
  • You bill the same clients every month and want recurring invoices, late fees and AutoPay.
  • You need iOS and Android apps, mileage tracking or US payroll.
  • Your team is growing: you can add team members at $11 a month each.
  • You rely on integrations: FreshBooks lists over 100 partner apps.

Choose Invollo if…

  • You want to start on a free plan rather than a trial.
  • You work remotely for clients who want time records with screenshots from a desktop tracker.
  • You want clients to sign quotes online on every plan, not only on higher tiers.
  • You invoice in currencies such as BDT or INR and want clients to pay through your own Stripe or PayPal account.

Where FreshBooks is the better choice

FreshBooks covers far more of running a business. From the Plus plan it adds double-entry accounting reports and bank reconciliation, and every plan imports bank transactions automatically[1]. If you want one product for invoices and books, Invollo can’t replace it: Invollo has no accounting at all.

Its billing automation is also deeper. Recurring invoices, scheduled late fees, deposits and up to three reminder emails are on every plan[1][4], and clients can store a card for future payments. Invollo sends automatic overdue reminders, but it has no recurring invoices and no late fees.

FreshBooks also suits growing teams and people who work on the move. It has iOS and Android apps[10], mileage tracking, US payroll as an add-on[12], team members at $11 a month each[1] and over 100 partner integrations[13]. Invollo is web-only, and its largest plan has 3 seats.

Where Invollo is the better choice

You can start for free and stay free. FreshBooks has a 30-day trial[1]; Invollo has a free plan with no time limit. It’s small (3 active clients, 5 invoices a month), but it’s enough to run a side project or test the workflow with real clients before you pay anything.

Remote work with proof of hours. Many clients who hire remote freelancers ask for time records with screenshots. Invollo’s Windows desktop tracker takes periodic screenshots at an interval your workspace sets, and your client can review them in the portal if you allow it. FreshBooks tracks time with a timer, including a Chrome timer for tools like Asana and Trello[8]. With Invollo, always tell the people being tracked before you switch screenshots on.

Signed quotes on every plan. FreshBooks reserves proposals and e-signatures for Plus and above[1]. In Invollo, every plan lets a client accept a quote with a typed name and drawn signature; the acceptance is stored with a SHA-256 proof, the time and the IP address, and the quote converts to an invoice in one step. See quotes and e-signatures.

Getting paid from abroad. FreshBooks Payments is only for businesses in the US and Canada; others use Stripe Standard[6]. Invollo always uses your own Stripe or PayPal account and takes 0% of each payment, and it invoices in 26 currencies, including Bangladeshi taka and Indian rupees. In Bangladesh, Invollo’s own subscription can be paid with bKash.

What Invollo doesn’t do

  • No recurring invoices, late fees or saved-card billing.
  • No accounting, bank feeds, bills or payroll. Export to CSV or JSON for your accountant.
  • No mobile apps. Invollo runs in the browser on any device.
  • Windows-only desktop tracker. Mac users can track time with the web timer or the Chrome extension.
  • Small teams only: 1 user on Free and Pro, 3 seats on Business.

What it costs in practice

Take a freelancer with eight active clients. On FreshBooks, Lite’s 5-client limit means Plus at $43 a month at the regular price[1]. On Invollo, eight clients is more than Free allows, so you’d need Pro; check its price for your country on the pricing page.

Payment fees matter as much as the plan. On FreshBooks Payments, a $2,000 invoice paid with a standard US card costs $58.30 (2.9% + $0.30)[5]. In Invollo, the same payment goes through your own Stripe or PayPal account at their rates, with nothing added by Invollo.
