A Hubstaff alternative for freelancers who also send the invoice
Hubstaff is workforce time tracking for teams: screenshots, activity levels, GPS, scheduling and payroll, priced per seat. Invollo is a billing tool for freelancers and teams of up to three, with a Windows desktop tracker that takes screenshots, plus quotes, invoices and a client portal. If you manage a team and need monitoring and payroll, stay with Hubstaff. If you’re a freelancer or a very small agency whose client asks for screenshot time records, and you also need to invoice that client, Invollo puts both in one place.
The short answer
Stay with Hubstaff if…
- You track a team larger than three, on Windows, Mac or Linux.
- You need activity levels, app and URL tracking, idle timeouts or timesheet approvals.
- Your team works in the field and needs mobile GPS and geofenced job sites.
- You pay your team through connected payout providers such as PayPal or Deel.
- You need enterprise controls such as single sign-on and SCIM provisioning.
Choose Invollo if…
- You’re a freelancer or a team of up to three and bill clients for tracked hours.
- A client wants screenshot proof of work, and you also want to send them a quote and an invoice.
- You want clients to pay by card through your own Stripe account, not only through PayPal.
- You don’t want to pay per seat for features you won’t use.

Where Hubstaff is the better choice
Hubstaff is built to manage people’s time at scale, and it shows. It measures activity levels from keyboard and mouse use, records apps and URLs, and handles idle time[1]. On the Team plan you get timesheet approvals, scheduling, attendance, overtime and time-off rules. Its desktop apps run on Windows, Mac and Linux[8], with iOS and Android apps for the field and GPS job sites through an add-on[15].
It also handles the other side of paying people. Hubstaff can pay team members through connected providers and work out payroll in each person’s currency[13][14], and it connects to 30+ apps[16]. Invollo does none of this: it has no payroll, no mobile apps, no Mac tracker, and its largest plan has 3 seats.
Where Invollo is the better choice
When the person tracking time is also the one sending the bill. Many freelancers run a screenshot tracker because a client asks for one. If that’s you, you probably need a quote before you start, a tracker while you work, and an invoice at the end. Invollo does all three in one workspace: the client accepts a quote by typing their name and drawing a signature, you track time with the Windows desktop tracker, and the hours become invoice lines.
How clients pay. Hubstaff’s help centre says client invoices currently get a PayPal button for online payment[12]. Invollo lets clients pay by card through your own Stripe account or through your own PayPal account, in 26 invoice currencies (PayPal in 24 of them). The money goes straight to you, and Invollo takes 0%.
Cost for very small teams. Hubstaff charges per seat, with a two-seat minimum on Starter, and owners and managers count as seats[3]. Invollo’s free plan covers one person with limits, Pro covers one person without them, and Business includes 3 seats for one monthly price. See the pricing page for your country.
Your clients see the work. In Invollo’s client portal, clients can see their invoices, quotes and projects and, if you allow it, review the screenshots behind the hours.
What Invollo doesn’t do
- Windows only. There is no Mac or Linux tracker, released or planned.
- No mobile apps, so no GPS or geofencing.
- No payroll and no payouts to team members.
- No more than 3 seats, on the Business plan.
- No recurring invoices, accounting or bank feeds.
A note on screenshot tracking
Screenshot tracking is intrusive, whichever tool you use. Hubstaff lets you change the frequency, blur screenshots on paid plans or turn them off[5][7][4]. Invollo lets the workspace set the interval and decide whether the client can see the screenshots.
Agree on it in writing before tracking starts: what is captured, how often, who can see it and how long it’s kept. Pause the tracker for personal tasks. Check the employment and privacy rules where you and the people being tracked work.
Frequently asked questions
- Is Invollo a full Hubstaff replacement?
- For a freelancer or a team of up to three who mainly need tracked hours with screenshots and invoices, often yes. For larger teams, or if you need activity levels, app and URL tracking, GPS job sites, scheduling, timesheet approvals or team payroll, Hubstaff does far more.
- How much does Hubstaff cost?
- Per seat per month on Hubstaff’s pricing page, checked on 4 October 2026: Starter $7 (or $4.99 billed annually, 2-seat minimum), Grow $9 ($7.50), Team $12 ($10), and Enterprise $25 billed annually. There is a 14-day free trial with no card, and Hubstaff’s help centre describes a one-seat Free plan with limits such as 100 screenshots a month.
- Does Invollo’s tracker run on Mac or Linux?
- No. Invollo’s desktop tracker runs on Windows 10 and 11 only, and there is no Mac or Linux version. On other systems you can track time with Invollo’s web timer or Chrome extension, which don’t take screenshots. Hubstaff has desktop apps for Windows, Mac and Linux.
- Can clients pay Hubstaff invoices by card?
- Hubstaff’s help centre says that, currently, you can add a PayPal button to client invoices so clients can pay online. In Invollo, clients pay through your own Stripe account by card or through your own PayPal account, and Invollo takes no share of the payment.
- Do I have to tell people their screen is captured?
- You should, in writing, before tracking starts, and check the rules where you and they work. Both tools make screenshots visible in the app; Invollo lets the workspace choose the interval and decide whether the client can review them.
