Invollo vs Zoho Invoice: two free invoicing tools, different limits

Zoho Invoice has the more generous free plan: up to 500 invoices a year, recurring invoices and mobile apps, at no cost and with no paid tier. Invollo makes sense when you bill clients in several currencies or need desktop time tracking with screenshots. If all your clients pay in your home currency and you send up to about 40 invoices a month, Zoho Invoice is hard to beat on price. If your clients are abroad and pay in their own currencies, read on.

  • You need recurring invoices that can auto-charge a saved card.

Choose Invollo if…

  • You bill clients in different currencies, such as USD, EUR and GBP, from one workspace.

  • You run more than three projects at a time and are happy to pay to remove limits.

Where Zoho Invoice is the better choice

On the free plan alone, Zoho Invoice gives you much more. Its limits are 500 invoices a year, three projects and two users[1]; Invollo Free stops at 5 invoices a month, 3 active clients and 1 user. Zoho also includes features Invollo doesn’t have at any price: recurring invoices that can charge a saved card automatically[6], and native apps for iOS, Android and Windows[11].

It’s part of a large suite. You can connect Zoho CRM and other Zoho apps, sync with accounting software, and choose from 55+ integrations[14]. When you outgrow it, Zoho moves your data into Zoho Books[12], which adds banking and full financial reports. Invollo has no accounting and no integrations with accounting software.

Where Invollo is the better choice

Clients in several currencies. Zoho’s knowledge base says Zoho Invoice bills only in your base currency, and its comparison table lists multi-currency as a Zoho Billing feature[5][4]. Many freelancers in South Asia, Africa and Latin America bill one client in dollars, another in euros and a third in pounds. Invollo handles that on every plan: each invoice has its own currency, an optional fixed exchange rate, and reports convert everything to your workspace currency.

Screenshot time tracking. Zoho Invoice tracks time with a timer and timesheets[8]. Invollo adds a desktop tracker for Windows that takes periodic screenshots, so a remote client can see the work behind the hours if you allow it. Room for projects. Zoho’s free plan caps you at three projects[1], and going further means another Zoho product. Invollo Pro removes the project, client, invoice and quote limits in the same workspace.

Built-in quote signatures. In Zoho Invoice, signatures on estimates come through the Zoho Sign integration[9]. Invollo’s acceptance (typed name plus drawn signature) is part of every quote, with a SHA-256 proof, a timestamp and the IP address recorded.

What Invollo doesn’t do

  • No recurring invoices and no automatic card charging.
  • No mobile apps; Invollo runs in the browser.
  • No accounting, bank feeds or integrations with accounting software.
  • The desktop tracker is for Windows 10 and 11 only.
  • The free plan is much smaller than Zoho’s: 3 active clients, 5 invoices and 5 quotes a month, 1 user.

A quick way to decide

List the currencies your clients paid you in last year. If it’s one, start with Zoho Invoice’s free plan and keep an eye on its 500-invoice and three-project limits. If it’s two or more, or if a client asks for screenshot time records, try Invollo’s free plan with one or two real clients. Either way, export your data regularly; both tools let you take it with you.

Frequently asked questions

Is Zoho Invoice completely free?
Yes. Zoho says Zoho Invoice operates on a forever free plan with no paid subscriptions. The free product has limits: up to two users, three projects and 500 invoices a year, with “Powered by Zoho Invoice” branding. For more, Zoho points you to Zoho Billing or Zoho Books.
Can Zoho Invoice bill clients in different currencies?
Zoho’s knowledge base says you can invoice customers only in your base currency in Zoho Invoice, and suggests Zoho Billing for multi-currency. Invollo invoices in 26 currencies on every plan and converts them to your workspace currency for reports.
What happens to my Zoho Invoice data if I stop using it?
Zoho’s pricing FAQ says that if a user is inactive for over 180 days, their data is deleted in the following 20 days, after a notice. Logging in or making a backup keeps it. Check the policy on Zoho’s page before you rely on it.
Which free plan allows more invoices?
Zoho Invoice: up to 500 invoices a year. Invollo’s Free plan allows 5 invoices and 5 quotes a calendar month and 3 active clients; the Pro plan removes those limits.
Does either one have a desktop time tracker?
Zoho Invoice has a live timer and timesheets in the web app and time tracking in its mobile apps. Invollo has a web timer, a Chrome extension and a Windows desktop tracker that takes periodic screenshots.
